This page lists all the processes included with Advanced HR.
Manual Initiation 🖱
The following processes are manually initiated on an ad hoc basis.
Annual Leave Cancellation
The Annual Leave Cancellation process is manually triggered by a user and allows the user to cancel any previously booked annual leave which has not yet been taken. It is configurable via the Leave Policies and Absence Type tables.
Annual Leave Request
The Annual Leave Request process allows a user to request holiday. The request can then be automatically sent through multiple authorisers with additional checks for requests with short notice or long durations. It is configurable via the Leave Policies and Absence Type tables.
Appraisal
This action allows a line manager to initiate and guide the appraisal process for an employee with 360° feedback provided. Used in conjunction with the Appraisal 360° Feedback triggered process, specified separately. It is not configurable.
Cancel a course
This action allows HR staff to cancel a course and automatically move any delegates back onto a waiting list for future instances of the course. It is not configurable.
Change my Address
The Change my Address process is manually triggered by a user from the Actions menu and allows the employee to change their home address as well as any temporary or term-time addresses. It is not configurable.
Change my Bank Details
The Change my Bank Details process is allows the employee to change their primary account details and/or their secondary account details. It is not configurable.
Change my Contact Details
The Change my Contact Details process is manually triggered by a user from within the Actions menu and allows the employee to change their telephone number(s) or email address. It is not configurable.
Change my Diversity Details
The Change my Diversity Details process is manually triggered by a user from within the Actions menu and allows the employee to complete a diversity, equality and inclusion questionnaire; with an additional optional stage for a data controller to validate the responses submitted. It is configurable through the Question template table.
Flexible Working Request
The Flexible Working Request allows the user to request a change to their working pattern for reasons such as childcare or health concerns. In the event that the employee’s line manager has not processed the request within a week, the authorisation form times out and an email is sent to the manager’s manager. The authorisation process may then be undertaken by either manager. It is not configurable.
KIT Days Request
The KIT Day Request process allows an employee to request a Keep In Touch day whilst on Statutory Maternity, Adoption or Additional Paternity leave. It is not configurable.
Leave of Absence Cancellation
The Leave of Absence Cancellation process allows the user to cancel any previously booked absence which has not yet been taken. Please note that only absences bookable in the Absence Request process will be available for cancellation. It is configurable via the Absence Type table.
Leave of Absence Request
The Leave of Absence Request process allows the user to request any type of absence which is marked as bookable in the Absence Type Table. The request can then be automatically sent through multiple authorisers with additional checks for requests with short notice or long durations. It is configurable via the Absence Type table.
Manage course delegates
The manage course delegates process allows HR to manage the bookings on a given course. Giving the option to either add delegates to; or remove delegates from the course, whilst simultaneously automatically maintaining a waiting list of possible delegates. There are no configuration options.
Record Leaver
The Record Leaver process is manually triggered by a line manager from within the Actions menu. It is not configurable.
Record New Starter
The Record New Starter process allows the user to enter the details for a new employee. This process is designed to be run through Actions menu by managers or HR staff. It is not configurable.
Record Sickness
The Record Sickness process allows managers to record and monitor a sickness absence. It is not configurable.
Shared Parental Leave Notification
This process allows an employee to notify HR/Payroll that they wish to take Shared Parental Leave. It is not configurable.
Shared Parental Leave Request
This process allows an employee to request periods of Shared Parental Leave, which must be in blocks of 7 days. It is not configurable.
SPBL Notification and Declaration
The SPBL Leave Notification and Declaration process enables an employee to notify HR about the bereavement. HR needs to confirm the dates after which the employee will be able to apply for leave. It is not configurable.
SPBL Leave Request
The SPBL Leave Request process allows employees to request statutory parental bereavement leave. Once the employee notifies HR about the bereavement and HR confirms it, employees can use this process to apply for Statutory Parental Bereavement Leave. It is not configurable.
SPLIT Days Request
This process allows an employee to request Keep-in-Touch days whilst on Shared Parental Leave (requires confirmation from their line manager). A maximum of 20 days may be taken. It is not configurable.
Subject Access Request
The Subject Access Request process allows an employee to request the personally identifiable information/ personal data held by the company. HR needs to respond outside of the process and then update the process to record the response in the system. It is not configurable.
Training Request
The Training Request process allows a user to request training. If the employee’s line manager has not authorised the request within 2 weeks, it is then forwarded to the Learning & Development department for confirmation. It is configurable via the System Settings table.
Update my diversity details
The Update my diversity details process allows a user to update their DEI information. A Data Protection Officer can validate responses before they are stored to the main Personnel Record. It is configurable by the Questionnaire Template table.
Year end rollover
The year end rollover process will automatically record year-to-date leave values for all relevant employees, process any leave to be brought forward and recalculates leave entitlements for the new year. It is configurable via the leave policies table.
Triggered ⏰
The following processes are automatically intitated based on data present in Advanced HR.
Appraisal 360° Feedback
This process is triggered by a selection for 360° feedback being made in the main Appraisal process.
Leave Authorisation
The Leave Authorisation process is triggered by any new leave request, including those made by manually initiated processes; the MyWorkplace applet and the AVA bot. It is configurable via the Leave Policies and Absence Type tables.
Leaver
The Leaver process is triggered by the leaving date being entered. This process complements the manual Record Leaver process and allows various tasks to be allocated across payroll, IT, facilities and HR. It is configurable via the System Settings table.
New Starter
The New Starter process is triggered automatically once Start Date, Department, Job Title and Manager have all been populated. This process complements the manual Record New Starter process and allows various tasks to be allocated across HR, payroll, IT, facilities and training. It is configurable via the System Settings table.
Sickness Continuation
The Sickness Continuation process is automatically triggered by a sickness absence record when it is marked as being for continuation. The trigger point is one week prior to the End Date, which corresponds to the certificate end date provided.
An email will be sent to the line manager advising them to contact the employee and, if the employee is not intending to return, to request a new doctor’s certificate. If the return form has not been completed within 7 days, then it will time out and an email will be sent to HR. HR will then have the same options as the line manager to close or continue the absence. It is not configurable.
Transfer Adoption to Absence
This process copies the absence related details from a specific statutory absence record and creates a corresponding record in the Absence table. This allows for unified calendar views and reports. It is not configurable.
Transfer Maternity to Absence
This process copies the absence related details from a specific statutory absence record and creates a corresponding record in the Absence table. This allows for unified calendar views and reports. It is not configurable.
Transfer Paternity (Adoption) to Absence
This process copies the absence related details from a specific statutory absence record and creates a corresponding record in the Absence table. This allows for unified calendar views and reports. It is not configurable.
